Getting Started with Tradeshift
We built a short guide on how to get started quickly with only 5 steps.
These five steps will guide you through the most important steps invited supplier should take while and after responding to the invitation email of their customer.
Business firewall
Your customer has implemented a number of validation rules on the Tradeshift platform, helping it receive all the information required to process invoices quickly and efficiently.
Validation rules
The validation rules implemented by your customer are listed below:
Supplier data is filled in correctly, think of full name and address of the supplier, IBAN number or other actual bank data from the supplier, For EU suppliers: the suppliers VAT registration number. Please mention your on supplier reference number; this can be filled in the box “invoice number” to found in the right top corner.
Header data; make sure Invoice number, Invoice date, Invoice currency is filled in.
Invoice line data; All invoices sent via the app must contain Océ’s PO or Schedule agreement number. This number should be issued to you via Océ representative at the time of order placement, the number can be found in the order collaboration app. These numbers can be provided once at the invoice header level, or, on all lines of the invoice. Besides the PO number, Invoiced quantity, Unit of measure, Unit price, tax rate, Invoice line item amount; For EU suppliers : VAT rate, should be filled in correctly. Each line should have a reference to the ASN shipment number.
Note the UOM and the unit price per item will be the same as in the confirmed PO.
On invoice summary level; the following data is important; total net amount, total VAT amount, total invoice amount
Additional information
Please notice that in some countries there might be additional requirements due to local legislation, e.g. relating to payment references, etc. If you are unsure of which validation rules apply to you, please contact your customer's local representative.
It’s good to know, that an invoices doesn’t match the business rules, it could be that the invoice will be sent back to you, to correct it.
Further to this, it is important to note that there are some “standard fields” on typical invoices that your customer does not receive from the Tradeshift platform (not visible in the web interface, and simply ignored in the case of EDI files); they are:
- Invoice due date: Invoices will always be paid based on the previously agreed terms and conditions, as stipulated in your supplier agreement, and therefore are not necessary within the individual invoice. The due date will be calculated by using the transmission date to Tradeshift.
- Payment details: Invoices will always be paid, based on the payment details that your customer has registered within its financial system. If you need these changed, then you should contact your contact person within Océ directly.
